Method of Presentation

~Including how to make and upload video presentations~

All presenters (both individual and panel): please prepare and upload video presentations!

The reason we request your cooperation in this regard is that the time difference across continents render it impossible to make all sessions available to participants in decent time schedules. If all the presentations are uploaded, all participants are able to access at least the videos, if not the live sessions.

A. Individual Paper Sessions

 ■ Presenters

  1. Please prepare a video presentation (within 15 minutes, MP4, MOV, WMV, AVI format, file size up to 1GB  see instructions below)
  2. Once the program is ready, each presentation will be given a “Presentation number”. When that number is issued with the program, you will be able to upload your presentation.
  3. Submit by uploading the video file by April 5th April 12th, for instructions on how to upload, see https://confit-sfs.atlas.jp/customer/icts14/video_upload.pdf
  4. We will make all uploaded videos available from April 12th  April 19 You can view the videos and write in comments.
  5. During the live session during the conference, you will be given 5 minutes to briefly recapitulate your presentation.
  6. Before the conference, watch the other presentations in your session. Send in questions beforehand if any, to ease discussion and communication. 

 ■ Moderators for individual presentation sessions

1.      Individual paper sessions are 60 or 75 minutes long, depending on the number of presenters.

2.      Since all of the presentations are pre-recorded, we expect session participants, including the moderators, to have viewed the presentations beforehand.

3.      We advise the moderators to contact the session presenters beforehand to discuss how to use the 60 minutes session time. For example, you can have each presenter do a recap of the presentation, allowing 3 to 5 minutes each. You might also ask the session members to prepare questions towards other presentations in the session to facilitate lively discussion.

4.      You can allocate the discussion time to questions among presenters as well as questions from the floor. Since the presentations will be posted beforehand, there may be earlier questions posted towards the presentations, which you should include in the discussion.


B. Panel Presentation

 ■ Panel Presenters

  1. As with the individual papers, we advise all panel presenters to prepare a video presentation (within 15 minutes, MP4, MOV, WMV, AVI format, file size up to 1GB see instruction below)
  2. Once the program is ready, each presentation will be given a “Presentation number”. When that number is issued with the program, you will be able to upload your presentation.

  4. We will make all uploaded videos available from April 12th  April 19.  You can view the videos and write in comments.
  5. Discuss with panel organizer and other members how to use the (up to) 90 minutes allocated time
  6. In case there is no pre-uploaded videos made available, we will record the live zoom session and make the recording available ON DEMAND for registered participants. If this is not appropriate, please consult with us.

■ Panel Organizers

Panel organizers are expected to designate moderators among the panel members. Please discuss well in advance with your panel members how you will use the 90 minutes live session. We leave it to the panel
organizers’ discretion how to carry out the live session.  While we advise that all panel presenters upload their presentation videos,  this may not be possible for all panels. In case there is no pre-uploaded videos made available, we will record the live zoom session and make the recording available ON DEMAND for registered participants. If this is not appropriate, please consult with us.


Note ~ regarding your video presentations ~

  • The uploaded videos will be available for all participants until May 31. After that we will close access to the presentation videos.
  • If you have papers you would like to upload, you can do it on your personal information screen where you first uploaded your paper title and abstract.
  • Questions and Answers can be done via the uploaded video which has comment functions
  • Copyright for all video contents belong to the presenter.
  • Any issues that emerge regarding the video contents will be the responsibility of the presenter.
  • When you cite material from other sources, please check that you have made clear which part is a direct citation, whether it is necessary to cite this source, whether you have clearly indicated the source, and whether you have not changed the contents from the source. Please be careful not to violate copyright laws, especially when you have to quote photos, videos, or music that are copyrighted by others.
  • If you use photos of people, please be careful not to infringe on their portrait rights.
